DYO Tour Rules

 

General

1.0       The normal rules and conditions of membership of Dublin Youth Orchestras (DYO) apply and the following are in addition to same.

 

1.1       Players will

1.2       Accept responsibility for their behaviour and the consequences that flow from that behaviour.

1.3       Accept rules concerning dress code, group discipline in residence, rehearsal, performance and while travelling; follow instructions by DYO staff and other supervisors at venues.

1.4       Behave honestly and interact with their fellow players and DYO staff in a positive manner, show respect and not interfere with or damage other player's equipment or property.

1.5       Behave in ways that reflect positively on DYO's image and status in the community and abroad.

1.6       Care for and not damage, degrade or compromise any property, equipment, service or facility used, owned, hired or visited by DYO.

 

Rehearsal/ Performances

2.0       The primary purpose of the tour/ residential rehearsal is performance and intense practice.

2.1       Players are expected to react fast to all instructions, to be ready on time, to have spare strings, reeds, mutes, pencils and erasers as requested and to handle music responsibly.

2.2       No chewing gum during performance or rehearsal.

2.3       Mobile phones must be switched OFF during rehearsals and performances.

 

In Residence/ at Rehearsals and Concert Venues

3.0       Swapping bedrooms is not permitted.   Players are not allowed in each other's rooms.

3.1       Quiet must be observed in bedrooms after time nominated by managers in order to allow those who are asleep or who wish to sleep to rest undisturbed.   Mobile phones must be turned off at this time.

3.2       No litter is to be left anywhere.   In particular no litter is to be left in toilets and changing rooms at rehearsal/ performance venues.

3.3       Bedrooms in residential accommodation are required to be tidy.

3.4       All electrical appliances, i.e. hair straighteners etc. must be unplugged before leaving bedrooms.

3.5       Smoking is not permitted.

3.6       Chewing gum in not permitted.

3.7       Players are expected to be responsible for each other, to report sickness and to seek help from staff promptly if they have problems or become aware of problems within the group.

3.8       Any defects in premises, breakages or damage should be reported immediately to DYO staff.

 

Safety & Security

4.0       Players must not do anything dangerous or likely to cause injury to themselves or anyone else.

4.1       In hotels, hostels and residences where security catches and locks are provided on doors and windows, they should be used at all times.

4.2       Curtains must be drawn when lights are on.  Players should never climb in or out of windows, or in any other way run the risk of being accused of damaging property entering a building illegally or otherwise acting suspiciously.  The rights of other residents must always be respected.

4.3       Sexual activity among players is not permitted.

4.4       Responsible use of lifts should be observed - a suitcase should count as an extra person.

4.5       Climbing on or over balconies is dangerous and is strictly forbidden.

4.6       Players should behave appropriately in varied situations while travelling.  For safety reasons they should avoid conspicuous behaviour and show common sense at all times.  Particular care is needed when getting on and off buses and when crossing busy roads in cities in groups.

4.7       Swapping buses is not permitted.  Players are allocated to a bus - no changes will be made to lists after allocation is finalised. 

4.8       Players must travel on that bus to minimise the risk of being left behind while touring.

4.9       Players may never leave a travelling group, a rehearsal venue, a residential venue or a concert venue, sightseeing tour, or other activity, without prior arrangement and permission from Tour Manager.

4.10     Good timekeeping is essential.  Players must return to the agreed meeting point exactly as requested and to the buses exactly as requested.

4.11     Players must stay in groups of not less than four when walking/ shopping/ sightseeing and must carry essential contact numbers/ maps with them as provided at all times.

4.12     Players are responsible to a group leader and must take responsibility for checking in and out with their group leader as instructed.

4.13     Seatbelts on coaches/buses/flights must be worn.

 

 

 

 

Medical Permission for Medical Treatment:

5.0       Permission is sought for group leaders to carry out the following:

5.0.1    To administer prescription medication required by players.

5.0.2    To administer pain relief medication as appropriate (e.g. Paracetamol).

5.0.3    To sign for medical operations to proceed in the event that this is deemed necessary by a qualified medical practitioner.

 

5.1       Any player using prescription drugs must notify the Tour Manager prior to the start of the tour.

 

5.2       A player who has attended hospital or received medical treatment in the 4 week period prior to this tour/ residential rehearsal          must give full details to DYO staff together with a letter from the hospital or G.P. confirming fitness to travel/attend.

 

5.3       A condition such as asthma, diabetes, epilepsy, serious allergy or other medical condition must be notified to staff.   All        medical information will be treated in strictest confidence.

 

5.4       It is essential to bring sufficient supplies of medication to last for the duration of the tour/ residential rehearsal (allowing also for any unforeseen delays).  The same brands may not be available locally.   A second supply of all medications must be given to the Tour Manager which can be used in the event of lost medication.

 

 

Insurance/ Personal Property

6.0       Players are responsible for looking after their personal property at all times.  A great deal of extra care is needed when on tour    or at a residential rehearsal.  Players are asked not to bring valuable property. 

6.1       Players participate in courses and tours at their own risk.  Parents/ guardians of players under 18 and adult members (those   over 18) must check that instruments are adequately insured when out of the country and under all circumstances.  Players must name all personal property including clothes that may be laundered.

6.2       Players must observe rules on luggage limitations.  Please make use of packing lists provided.

 

Alcohol & Non-Prescription Drugs

7.0       No drugs, other than prescription drugs and over the counter remedies are to be  taken or to be in the possession of any player.

7.1       Players must not purchase or consume alcohol at any time during the tour/residential rehearsal.

7.2       Players must not purchase tobacco products at any time during the tour/ residential rehearsal.

7.3       Possession of or consumption of alcohol/drugs will be regarded as a most serious breach of rules and may result in a player being sent home.

 

Sanctions:

8.0       A player found in breach of rules will be subject to: 

8.0.1    A verbal warning; 

8.0.2    The player's parents/guardians will be contacted and informed of misconduct; 

8.0.3    A player found to be uncooperative or in serious breach of rules will be sent home and may be expelled from DYO.

8.0.4    Sexual activity among players is not permitted – players found breaking this rule will be sent home immediately and expelled from DYO.

8.1       Damage to property:  Parents/Guardians agree to reimburse DYO for any property damaged by a player.

8.2       Inappropriate items will be confiscated and disposed of by DYO staff.  

 

9.0       In the event of a player being sent home:

9.1       Parents/ guardians will be responsible for collection of player and all expenses incurred by DYO in relation to sending player home including any expenses relating to adult supervision while travelling.   Parents/Guardians agree to reimburse DYO for such expenses forthwith.

 

The rules are based on safety, common sense, the requirement of performance, consideration and respect for the diversity of identity, background and beliefs of others, respect for property and the environment.

 

Two copies of rules are sent to players.  One copy must be signed by the player and by both parents/guardians of players.   This copy must be returned to DYO with the tour/residential rehearsal application form by the date requested.

 

Photographs of players may be used for promotional use without permission from individual players/ parents/ guardians.

 

Dublin Youth Orchestras reserves the right of admission to the tour/ residential rehearsal under all circumstances.
